In this tutorial, you will learn how to view various reports using the Auxwall Gym Management Application.

Why Generate Reports?

Generating reports is crucial for effective financial management and transparency. Here are some key reasons:

  • Balance Sheet: Provides a snapshot of your assets and liabilities, ensuring that your accounts are balanced.
  • Profit and Loss Account: Helps in analyzing your revenues and expenses over a specific period, aiding in profitability assessment.
  • Sales Report: Tracks sales performance, providing insights into trends and customer preferences.
  • Purchase Report: Monitors your purchasing activities, helping in inventory management and cost control.
  • Stock Report: Displays current inventory levels, enabling effective stock management.
  • Cash Flow Report: Summarizes cash inflows and outflows, ensuring you maintain sufficient liquidity.

Step 1: Accessing the Reports Section

  1. A. Click the Reports Tab.
  2. B. Review the list of available report options.

Step 2: Viewing Specific Reports

A. Balance Sheet

  1. Select Balance Sheet from the Reports menu.

    The balance sheet will display:

    • Assets and Liabilities should tally, with liabilities on one side and assets on the other.
    • Parent accounts will be indicated with a darker color, with sub-accounts listed beneath.
    • The amount displayed against each account represents the total transactions recorded.
  2. Account Statement:
    1. Click on any account to view its statement.
    2. Double-click on the desired transaction to view details.

Export Options Available:

  1. Export PDF: For exporting data to PDF.
  2. Export Excel: For exporting data to Excel.

B. Profit and Loss Account

Select Profit and Loss from the Reports menu. This report shows total revenues, expenses, and net profit or loss over the specified period:

  1. Income and Expenses: Income on the right side and expenses on the left.
  2. Ledger Accounts: Relevant ledger accounts for income and expenses will be listed.
  3. Totals: Total for income and expenses will be displayed at the bottom.
  4. Net Profit and Net Loss: Clearly indicated on the report.

Understanding the Profit and Loss Account:

  1. Provides a clear overview of financial performance.
  2. Helps identify areas for improvement through analysis of income and expenses.

Account Statement:

  1. Click on any account to display all transactions associated with that account.

C. Sales Report

Select Sales Report from the Reports Menu. The report aggregates all sales-related data for review.

Account Selection:

  1. Select specific accounts to display related sales transactions.
  2. Adjust the date range to filter transactions.
  3. Select ‘All Items’ to view all sales transactions for the chosen period.

Debit and Credit Sides:

  1. Debit Side Total: Represents discounts, returns, or refunds.
  2. Credit Side Total: Reflects total amount received from sales.

Current Total is calculated as Debit Side Total minus Credit Side Total.

Sales Invoice Management:

  1. All sales invoices related to transactions are captured in this report.
  2. Use filter options to select specific accounts.
  3. Clicking on an invoice opens the detailed invoice form.

Additional Features:

  1. Search Functionality: Quickly find specific invoices.
  2. Export Options: Export sales report data to Excel or PDF.

D. Purchase Report

Select Purchase Report from the Reports Menu. This report aggregates all purchase-related data.

Account Selection:

  1. Select specific accounts to display related purchase transactions.

Debit and Credit Sides:

  1. Debit Side Total: Total amount spent on purchases.
  2. Credit Side Total: Reflects any returns or refunds.

Current Total is calculated as Debit Side Total minus Credit Side Total.

Transaction Details:

  1. Displays Opening Balance, Current Total, and Closing Balance.

Purchase Invoice Management:

  1. All purchase invoices related to transactions are captured in this report.

Additional Features:

  1. Search Functionality: Quickly find specific invoices.
  2. Export Options: Export purchase report data to Excel or PDF.

E. Stock Report

Select Stock Report from the Reports Menu. This report displays transactions related to stock.

Account Selection:

  1. Select appropriate stock accounts to view transactions.

Example: If the account is "Protein Powder Warehouse," all related transactions will be displayed.

Transaction Details:

  1. Displays Opening Balance, Current Total, and Closing Balance.

Debit and Credit Sides:

  1. Debit Side Total: All additions to stock.
  2. Credit Side Total: Reductions in stock.

F. Cash Flow Report

Select Cash Flow Report from the Reports Menu. This report details cash inflows and outflows.

Transaction Details:

  1. Opening Balance: Balance before any transactions.
  2. Current Total: Total of all transactions processed.
  3. Closing Balance: Balance after all cash transactions.

Debit and Credit Sides:

  1. Debit Side Total: Cash inflows.
  2. Credit Side Total: Cash outflows.
